RECOMMENDATION:                                                                                                                       

Approve and authorize the Executive Director to execute purchase order #17461 and associated disbursements with SHI International Corp. in the amount of $533,955.35, using the State of Utah Contract #AR2488.                     

BACKGROUND:                                                                                                                                 

The Information Technology department is seeking approval to purchase Microsoft Power Apps and Power Automate to improve operational efficiency, reduce manual workloads, and enhance customer service delivery. These tools provide low-code automation, allowing UTA departments to streamline workflows, reduce response times, and improve data accuracy.

Currently, many business processes require manual effort, leading to:

                     Delays in service delivery due to slow approvals and inefficient workflows.

                     Increased administrative burden.

                     Inconsistent processes.

                     Time-consuming stack applications.

 

Without automation, employees must manually track requests, enter data, and manage approvals.


This purchase will be made through Utah State Contract AR2488 and expire on April 30, 2027.

DISCUSSION:                                                                                                                                      

UTA Staff is requesting to utilize State Contract AR2488 with SHI International Corp. to provide Microsoft Power Apps and Power Automate licenses, enabling the organization to develop and deploy automated workflows for critical business processes. These tools will help reduce manual processing, automate approvals, and provide a consistent and efficient service experience for employees and customers.

Approval of Microsoft Power Apps and Power Automate licenses will allow for:

                     Automation of routine tasks.

                     Improving the customer experience.

                     Enhanced data collection and reporting.

                     Integration with existing Microsoft and Customer Relationship Management (CRM).

                     Increased data governance.

 

The contract includes:

                     Licensing for Microsoft Power Apps and Power Automate for enterprise-wide deployment.

                     Integration with existing Microsoft 365 systems and CRM platforms to enhance functionality.
