RECOMMENDATION:
Approve and authorize the Executive Director to execute Purchase Order 17695 under State of Utah contract MA4104 with Mythics, LLC for Oracle JD Edwards software maintenance, for a three (3) year base period plus two (2) one-year options years totaling $1,200,061.14.
BACKGROUND:
The Oracle JD Edwards Enterprise Resource Planning (ERP) system supports critical business functions at UTA, including accounts receivable, accounts payable, general ledger, procurement, inventory management, asset management, as well as other important modules.
While UTA is transitioning some modules to Workday and Trapeze Enterprise Asset Management, JD Edwards will remain essential for the next 3 to 5 years. The transition to a new system is expected to extend beyond the three-year term of this contract.
DISCUSSION:
Mythics, who is an Oracle reseller, will provide Oracle JD Edwards software maintenance for three years totaling $688,956.30, with two optional one-year renewals totaling $511,185.84. The total contract value is not-to-exceed $1,200,061.14.
Utah State Contract MA 4104 currently has an expiration date of April 24, 2027. This order is only in effect until that date unless the state contract is extended, renewed, or replaced and a notice to proceed is issued by UTA in writing. If the contract is not extended, renewed, or replaced, Mythics will, in good faith, work with UTA and Oracle to issue a credit for the pro-rated amount of un-used licensing term which was paid in advance (January 1, 2027, through December 31, 2027)

- Acquire a new ERP solution (Not recommended due to high cost and implementation time).
- Do not renew; UTA would be without an ERP/Finance system (Not recommended due to extreme operational risk)
- Renew directly with Oracle at a higher price (Not recommended; less favorable terms).
